The agenda item says "club software," and the discussion stalls where it always does: the membership chair wants the roster out of a guarded spreadsheet, the race captain wants results published the night they happen, the treasurer wants dues that reconcile themselves, and the house committee wants to know what happens to the dining room. Yacht club management software has to satisfy all four seats at once, because at a yacht club the buyer is a board, not a manager. This guide takes the board's view: what the club side genuinely needs from software, what Zeil covers and openly does not, and a one-page requirements worksheet each committee can fill in before anyone books a demo. Why a yacht club is not a sailing center with a nicer bar
The operational difference is governance. A sailing center has a manager and a scheduling problem. A yacht club has a commodore, a vice and a rear, and a set of standing committees — membership, race, house, sometimes grounds or waterfront — each of which owns a slice of the operation and answers to the board. Software that solves only one committee's problem tends to die in the vote, because the other three see a line item and no benefit.
Three other things distinguish the club side:
- The social calendar is load-bearing. Raft-ups, cruises, the commissioning dinner, the awards banquet. Members join for the water and stay for the calendar, and communicating it is a real workload.
- Reciprocity. Members of other clubs arrive with a burgee and an expectation of guest privileges, and your members do the same elsewhere. Every visiting sailor is a guest who needs registering and, if they are going on the water, a signed waiver.
- Some clubs run a hospitality business. A dining room, a bar, banquets — with staff, inventory, and a point-of-sale system. Some also run a waterfront: slips, moorings, a launch, a fuel dock.
A board evaluating software has to be clear-eyed about which of those the candidate system claims to cover, and which it should even try to.
Yacht club management software: the seven jobs the club side covers
Set the hospitality operation aside for a moment (we come back to it) and the club side of a yacht club reduces to seven jobs. For each, here is what to demand — and, where Zeil is the vendor on the table, what is live today versus roadmap, no date.
1. A directory members actually use. Ask which membership tiers the club runs — senior, intermediate, junior, social, honorary, life — and what each class is allowed to do. The roster has to hold that answer in one place, with a directory members can search themselves, instead of a spreadsheet the membership chair guards. 2. Boats and reservations for the club-owned fleet. Club keelboats, dinghies, coach and committee boats: the reservation system should refuse a double-booking outright and refuse a reservation from a member who is not certified for that boat class. In Zeil both are live — double-booking is prevented by the database itself, and certifications and endorsements gate skipper eligibility automatically. 3. The racing program. Wednesday night series, weekend one-design, the fall regatta — for many clubs this is why the club exists. Be precise with every vendor here, ourselves included: Zeil's race scoring, duty rosters, and PHRF handicaps are Roadmap, with no date, and not live. What race committees get today is on the racing clubs page. If scoring by a specific date is a board condition, Zeil cannot meet it — there is no date. The Founding Clubs program is a price lock and free white-glove migration, not a promise that scoring arrives on a day.
4. Communications the club controls. Club-wide announcements and a weekly email digest are live in Zeil today. Segmented sends — race fleet only, house committee only — are roadmap, with no date, which matters at a club where four committees each want to reach their own slice of the roster.
5. Waivers with a real record. Versioned waiver text with click-through acknowledgement is live. When counsel or the insurer asks who acknowledged which version, the answer should come straight out of the system, not out of a box in the clubhouse office.
6. Guests and reciprocal visitors. Guest registration is not claimed live. Zeil does not track inter-club reciprocal agreements.
7. Dues. Dues and payments are on the roadmap. Collection is not live yet. When it is, members see a Booking fee of 2%, the same on every payment method, with the fee-inclusive total shown first. The club is the seller. A treasurer evaluating now should not plan on in-app dues collection today.
What Zeil does not do, on purpose
Dining, bar tabs, banquets, and point of sale: Zeil does not do them and is not going to pretend otherwise. A club with a real food-and-beverage operation should keep its F&B and POS system; Zeil is the club operating system for the sailing side — members, boats, eligibility, racing, waivers, guests, and dues. The usual pattern is that a system claiming the galley and the starting line equally ends up serving one of them well.
